Two KPIs worth 5 points together. Each one below is broken into the 8 points the guidebook asks for, and each point shows what Tondro Consulting configures to meet it. Choose an offering to see only its part.
Master API, collected today through the interim HEDB portal.
The number of academic events the institution runs that are open to students.

What Tondro configures
Each academic event organized, co-hosted or hosted and open to students, such as conferences, symposiums, workshops, lecture series and skills competitionsGuidebook p. 55
Each event is set up with its invitations and registration, and recorded with its type, date and host.
Departments and student clubs propose events in Slack, and each agreed event is written to the record.
The minimum turnout and duration for each type, such as 15 for a workshop, 50 for a symposium, 150 for a conference, and one hourGuidebook p. 57
Registration and check-in are recorded per attendee, so turnout is a count on the event.
An agent checks each event against the minimum for its type and lists those that fall short before filing.
Program level: an event counted by every program that organized it or is affiliated with itGuidebook p. 55
Each event links to the program records involved, so every affiliated program counts it.
Filing through the Master API as a three-year rolling averageGuidebook pp. 16, 55
The count by type and program is produced from the event records in the HEDB format.
Tondro keeps the attendance evidence for each cycle ready for a request.

Each community event and initiative, such as educational programs, volunteering, free courses, cultural events and public lecturesGuidebook p. 56
Community events are published and registered from the same system as student events, with the public registering the same way.
Free public courses run on the Commerce Cloud storefront at no charge, so enrollment and completion are recorded.
Community organizations that co-run an initiative are partner records with their HEDB partner type.
The minimum turnout and duration for each type, such as 20 for an educational program, 5 for volunteering or a free course, 50 for a cultural event or public lecture, and one hourGuidebook p. 57
Attendance is recorded per person at check-in.
An agent checks each event against the minimum for its type and lists those that fall short before filing.
Program level: at least two community events a yearGuidebook p. 56
Each event links to the programs that ran it, so each program’s count for the year is a report.
At mid-year, an agent tells each program lead whose program has fewer than two events on the record.
Filing through the Master API as a three-year rolling averageGuidebook pp. 16, 56
The count is produced from the event records in the HEDB format.
Every agent on this page can run on Claude through Claudeforce, or on a self-hosted model where student data has to stay in the country.

Salesforce as SIS
Salesforce Education Cloud run as the student information system, in place of the institution’s legacy SIS. Programs, enrollment, grades and transcripts sit on one record that every other office reads.
Recruitment and admissions on the same record the registrar keeps. Prospects, events, application review and decisions carry straight into enrollment without a handoff.
The graduate record continues the student record, with employers, partners and engagement kept on it. On this map it also holds the institution’s corporate partners and what each one does with it.
Continuing education on Commerce Cloud, with open enrollment sold like retail and corporate programs run as a sales pipeline. Every completion writes to the same learner record.
Research information on Education Cloud, in the same org as the student record. Projects, outputs, partners, funding, IP and student research are linked to the faculty, students and programs they belong to.
Email journeys on Marketing Cloud, with SMS and WhatsApp, drawn from what is true of a student or graduate now. The communication history is kept on the record.
Slack connected to the student record, with record context in the conversation and handoffs that leave a trail. Shared channels extend to partners outside the institution.
Salesforce’s AI agents, configured and governed on the institution’s own record. On this map, agents chase responses, check evidence and flag gaps for a person to act on.
Claude, Anthropic’s model, available to agents inside Salesforce as an alternative to the default model. Prompts pass through the Einstein Trust Layer, and the model provider retains no data.
AI document processing that reads transcripts, certificates and other documents and writes what it finds to the record. It works natively in Salesforce and with any SIS.
Connections between the record and the systems around it, such as the LMS, finance and ministry reporting. When Salesforce is the SIS, many of them are no longer needed.
A named Salesforce team that runs the platform after go-live, with release readiness three times a year, an enhancement backlog and governance. On this map it also runs the returns each cycle.
One hour on a call. Bring your last HEDB return and the list of systems that hold each KPI’s source data, and Tondro will mark which points on this map you can already produce and which you cannot.
